Terms and Conditions

Your enjoyment and safety is paramount to us therefore we ask you to read the following terms and conditions before making your booking. We reserve the right to ask guests who contravene these terms and conditions or, who in any other way are behaving in a manner likely to cause distress or nuisance to other visitors, to leave the park immediately with no refund. In these circumstances the holiday ceases and we shall not be liable for any extra costs incurred by you.

-Hill Cottage Farm is solely for caravans / trailer tents / tents / motor caravans / Lodge guests. Guests must be bona fide holiday makers and stay for holiday purposes only.

-Please telephone the office if your Caravan/ Motorhome is longer than 8 metres, No RV or 5th Wheeler bookings to be accepted.

Group/Pair Bookings

-Groups and pairs bookings by prior agreement only. These can only be booked over the phone and all pitches will be allocated.

-Once these group/pairs allocated pitches are gone they are gone. Any group/pair bookings that are placed individually online, without Hill Cottage Farm approval, will be cancelled.

-We cater for families and couples and do not accept bookings from hen and stag parties. We reserve the right to refuse any booking.

Bookings

-The person making the booking warrants that the party will not exceed the numbers stated on the booking.

-There is a minimum stay of three/five nights over bank holiday weekends on the grass pitch’s, and up to five nights on the hard standing pitch’s. Please call the office for availability over busy times, as sometimes the availability may not have been updated on the online booking system.

-Bookings can be made by telephone or online. Bookings only are secured by a 20% (or £15 minimum) non-refundable deposit, balance to be paid 10 days before arrival online via links send out by the holiday park. The price of the holiday will include VAT (value added tax).

-Alternations to bookings are not permitted within 10 days of arrival except, where possible, to extend the stay.

-Prior to 10 days before arrival, if you need to change your booking, please call to discuss your options. If changes are not possible, it will be considered a cancellation, and the deposit forfeited.

-No refunds will be issued in the event of bad weather unless we are unable to accommodate you and are forced to cancel your booking.

-WE DO NOT ALLOCATE PITCHES TO GUEST CHOICE, We will endeavour to honour pitch choices for stays over 14 days, however if this pitch allocation needs to be changed for operational purposes, your pitch allocation will be changed. It must be clearly understood that acceptance of a booking is not conditional on the allocation of a particular pitch.

-Arrival is from 12:30pm onwards. Departure by 11:00am.

-All pitches are allocated

-Early and Late stays by arrangement during your stay and availability only at an extra charge.

Cancellation of the holiday by you

– You may cancel your holiday at anytime. Cancellation will be effective on the date received by us. Cancellation charges are payable as follows:-

Up to 10 days before arrival – Deposit only

10 Days and under before arrival – Full payment of holiday cost.

-We will not make refunds of deposits or full payments for the reasons of illness, bad weather or mechanical breakdowns.

-If the applicable rate of VAT increases, then pitch fees will change immediately in line with the VAT change, therefore your total booking price will change accordingly.

Holiday Behaviour standards and termination

– When making the booking you undertake on behalf of yourself and the people in your party including children, to adopt the following standards of behaviour:-

-To act in a courteous and considerate manner towards us, our staff and other guests.

-To supervise children properly so that they are not a nuisance or a danger to themselves or others.

-Keep all dogs on leads throughout the park at all times and in all areas of the park.

-The site does not accept breeds/crossbreeds listed in the Dangerous Dogs Act (i.e. XL Bully, Pit Bull Terrier, Japanese Tosa, Dogo Argentino, and Fila Brasileiro).

-Not to create any undue noise or disturbance at any time.

-USE ONLY GAS/CHARCOAL BARBECUES. OPEN FIRES AND BURNING WOOD IS STRICTLY PROHIBITED NO LOG BURNERS, FIRE BASKETS OR CHINESE LANTERNS

You further agree that you will not:-

-Commit any criminal offence at the park or undertake any criminal activity.

-Commit acts of vandalism or nuisance.

-Keep or carry firearms or any other weapon at the park.

-Use any unlawful drugs or carry on any trade or business whilst on the park

-The use of bird feeders on Hill Cottage Farm is not permitted because of their propensity to encourage the rodent population.

Injury, loss, damage

-No responsibility will be accepted for any injury, loss, damage to persons, possessions or vehicles on the site known as Hill Cottage Farm.

-All persons staying on or visiting the site known as Hill Cottage Farm use the facilities entirely at their own risk and therefore enter and agreement when a booking is received and confirmed by Hill Cottage Farm.

Lodge Bookings – Terms & Conditions

All Terms and Conditions above relating to touring and camping stays also relate to our lodge holiday bookings. Apart from any points noted below.

-Bookings can be made by telephone or online with a debit card. Telephone bookings only are secured by a 25% non-refundable deposit, balance to be paid 30 days before arrival online via links send out by the holiday park.

-The price of the holiday includes VAT (value added tax).

-Arrival is from 4pm onwards. Departure by 10am.

-Cancellation of the holiday by you – You may cancel your holiday at anytime.

Cancellation will be effective on the date received by us.

Cancellation charges are payable as follows :-

-Up to 30 days before arrival – Deposit only

-30 Days and under before arrival – Full payment of holiday cost

Condition of Lodge

-You are responsible for the cabin during your stay. A damage waiver of £100 will be taken at time of booking.

-The lodges are inspected on departure and should be left in the condition found upon arrival.

– Any damages incurred during the stay will be deducted from this waiver which will be returned within 5-10 days of departure.

-You undertake to report any damages or breakages to the management so they may be quickly rectified.

-If any monies are to be taken for the damage waiver you will receive an email separately explaining the reasons for this. Hill Cottage Farm reserves the right to invoice any guests for more than the £100 damage deposit, if any damage created is more than the £100 held.

– Our lodge is NON smoking.

If there is a problem with the Accommodation

In the unlikely event that there is a problem with the Accommodation:

(a) Please tell us as soon as is reasonably possible;

(b) Please give us the opportunity to put it right;

(c) We will make every effort to repair or fix any defect as soon as is reasonably practicable.

(d) If we are unable to fix the problem we may offer to re-locate you to another unit of similar grade or higher. If no upgrade or similar grade is available, then we may allocate a lower grade and refund the price difference. This is subject to availability and if we are not able to re-accommodate you then the following remedies will apply. If there is any problem with the Accommodation, which is due to our fault and means we are obliged to cancel your booking, we will refund payments made for Accommodation not yet provided to you.

We may enter any Accommodation on the Park during the term of your Booking in order to inspect it and carry out any repairs that may be found to be necessary.

-Please treat the property, facilities, accommodation and touring pitches at Hill Cottage Farm with respect and care so that other guests may continue to enjoy them.

– In the event that you notice damage to any facility or equipment on the Park, please report it to Reception immediately so that we may take the appropriate action.

-Any malicious, wilful or unreported damage to our property may result in termination of your holiday without refund and you may be liable for the cost of repair.

Dogs

-Well trained dogs are welcome (two per lodge), by prior arrangement, and subject to a payment.

-Dogs must be kept on a lead and under proper control at all times and must not be left on their own in the lodge.

-Guests/owners must not allow dogs to sit on the beds or the furniture and are required to keep the area around the cabins clear of any traces of dog foul.

Children

Your children are your responsibility, please ensure they are respectful at all times to other campers and staff.

-Children should be supervised at all times when on site, including on the play area and when using toilet/shower facilities.

-The play area is not to be used before 9am and no later than 9pm, or dusk, whichever comes first.

-Children must not enter other people’s pitches or cause disturbance to other campers.

-Bicycle’s should not be ridden around the site at high speeds causing danger to the both the rider and other campers. No bicycle’s on the dog walk.

-No bicycle’s/ scooters to be ridden or parked at the facilities blocks.

Health and Safety

For the safety and wellbeing of our guests we ask that you comply with the following:-

-Cars, caravans and awnings must be contained within the pitch reserved.

-Any units not adhering to our strict fire safety spacing rule will be asked to re-position the unit.

-Please make yourself aware of the nearest fire points. –
The park is responsible for the electrical system up to the socket on the hook-up point at the pitch. It is the responsibility of the camper to ensure that the camper’s unit is safe.

-The park will not accept any responsibility for any accident or loss arising from the use of unsuitable or unsafe electrical equipment connected to the park’s hook-up point.

– It is the responsibility of the camper to ensure gas appliances are safe and regularly maintained.

-No heaters in awnings, please.
